By engaging with Aquademy Sports, all clients agree to abide by these terms and conditions. Failure to comply may result in the termination of lessons without eligibility for a refund.

Arrival on Premises

To maintain a positive relationship with Parkside School and adhere to our venue agreement, clients must follow these guidelines:

  • Parking and Entry: Follow all instructions regarding parking, entry, and exit routes. Aquademy Sports is not responsible for loss or damage to vehicles or personal property on the premises.
  • Spectator Access: Spectators should use the specified entrances and exits without entering changing rooms unless accompanying a swimmer. These areas must not be used as makeshift changing or shower rooms.
  • Adults/Carers Assisting Swimmers: Male adults/carers should accompany swimmers to the MALE changing room, and female adults/carers to the FEMALE changing room, regardless of the swimmer’s gender.
  • Footwear on Poolside: Spectators must remove outdoor footwear or wear clean shoes (e.g., flip-flops) or overshoe covers provided.

Designated Changing Rooms:

  • Room 3: Female swimmers, female adults, and children under 8 (boys or girls).
  • Room 4: Male swimmers, male adults, and children under 8 (boys or girls).

Parkside School facilities: (e.g., tennis courts, basketball nets, cricket squares, football pitches)

These are not available for use during lessons.


During Swimming Lessons

  • Parental Responsibility: Parents/carers remain responsible for children outside lesson times. During lessons, teachers will ensure children’s safety. Any concerns must be raised with the teacher before the lesson.
  • Physical Contact: Some professional, caring physical contact between teachers and swimmers may occur as part of instruction.
  • Entering and Exiting the Pool: Swimmers must wait for the teacher’s signal before entering the pool and notify the teacher if they need to leave before the session ends.
  • Health Information: Inform the teacher of any health concerns relevant to the swimmer’s participation.

Presence of Responsible Adults

A parent/carer or a designated responsible adult must remain poolside during lessons. If another adult temporarily assumes responsibility, inform the swimming teacher in advance.


Refund & Make-Up Lesson Policy

Refundable Circumstances

  • Cooling-Off Period (New Bookings Only): A full refund is available within 14 days of payment. After this period, no refunds will be issued.
  • The £10 joining fee is non-refundable if lessons have commenced.
  • The 14-day cooling-off period does not apply to recurring invoices.

Non-Refundable Circumstances (No Make-Up Lessons)

  • Refunds are not provided after the 14-day cooling-off period.
  • Missed lessons due to sickness or holidays are non-refundable, as fees secure the term length at the time of booking.

Non-Refundable Circumstances (With Make-Up Lessons)

Refunds will not be issued for circumstances beyond Aquademy Sports’ control, including:

  • Government lockdowns, adverse weather, or force majeure events.
  • Pool facility closures.

In these cases, we offer the following alternatives:

  • Make-up Lessons: Rescheduled on designated ‘Standby Make-up’ dates listed on our website.
  • Crash Courses: If a make-up lesson is unavailable, the lesson may be taken as part of a Crash Course.

Exceptional Circumstances

Requests to defer lessons (e.g., due to a medical condition) must be emailed to contactus@aquademysports.co.uk and will be considered on a case-by-case basis, subject to availability.

Catch-Up Lessons for Absences

For eligible classes, a lesson token will be credited to your account when an absence is recorded. Tokens can be used for a catch-up lesson and must be redeemed within the following timeframe:

  • One week before the absence or one week after the absence.
  • All tokens must be used before the end of the term and cannot be exchanged for a refund if unused.

All rescheduling options are subject to availability at the time of booking.


Notice Period

  • For existing swimmers, notice of a clients intention to leave must be received in writing by the ‘next term payment date’ as outlined on the Parent Hub Upcoming payments.

Lesson Pricing

  • Payment: Full payment is required to secure a place for the term. Late joiners will pay a pro-rata fee for remaining lessons.
  • Updated Pricing: Current prices are listed on the website www.aquademysports.co.uk.

Client Conduct

  • Respectful Behaviour: Verbal or physical abuse of staff will not be tolerated and may be reported to authorities.
  • Hygiene:
    • Provide a light snack for swimmers at least an hour before lessons.
    • Ensure swimmers use the toilet beforehand.
    • Do not bring unwell children to lessons.
  • Prohibited Items: Food, outdoor footwear, car seats, and pushchairs are not allowed in pool buildings or on poolside.

Swimmer Requirements

  • Before Swimming: Swimmers must shower, remove plasters, hair clips, makeup, and body lotions to maintain pool hygiene.
  • Arrival and Departure: Arrive 5–10 minutes before lessons and depart within 15 minutes after to manage changing room capacity.

Automatic Invoicing and Payment Policy

  1. Recurring Invoicing: Existing clients will be automatically invoiced for the upcoming term. A reminder will be sent seven (7) days before the invoice is generated.
  2. Payment Information: Clients can view their upcoming payment amount by logging into the Aquademy Parent Hub and navigating to the “My Account” section.
  3. Payment and Course Security: Course bookings are only secured upon receipt of payment. If valid card details are stored on the client’s account, payment will be processed automatically.
  4. Client Responsibility: Clients are responsible for ensuring their stored card details are accurate and up to date. Clients may choose to remove their stored card details at any time; however, failure to complete payment may result in the loss of their reserved lesson.

Medical and Illness Policy

  • Medical Conditions: Ensure your Parent Hub is updated of any existing or new medical conditions. Participation may be restricted based on professional discretion.
  • Illness: Do not attend lessons if the swimmer or responsible adult has a contagious condition. Swimmers must be symptom-free for at least 48 hours before returning.

Lost or Damaged Property

Aquademy Sports is not liable for lost or damaged personal belongings. Lost items will be placed in the poolside lost property basket.


Photography and Videography

Photography and videography by clients are prohibited. Aquademy Sports may take photos/videos for marketing purposes with prior consent.


Data Protection

Personal information is stored securely under GDPR regulations and is used solely to provide services. Details are never shared with third parties. For more, see our Privacy Policy.


Safeguarding Policy

Aquademy Sports adheres to Swim England’s Wavepower Child Safeguarding policy.


Changes to Terms

Aquademy Sports may update these terms on its website. Clients will be notified via email and must communicate objections within 14 days; otherwise, changes will be deemed accepted.
